A&L Cars Private Hire Ltd (‘we’, ‘us’, ‘our’) is a licensed private hire company providing taxi and school transport services. We are registered as a Data Controller with the Information Commissioner’s Office (ICO).

2. What personal data we collect and why:
We collect and process personal data in connection with the following services:
- General taxi and private hire bookings:
- Name, phone number, email address, pick-up and drop-off details, and flight details (for airport
transfers) - Payment details (processed securely via Stripe – we do not store card data). We collect this information because it is needed to carry out the booking and deliver the service.

- Parent / guardian: name, home address, phone number, email address
- Child (passenger): name, age, school name, home address, pick-up and drop-off address, parent name
- Special category data: medical conditions, dietary requirements, special educational needs (SEND) information – collected only where provided with the explicit written consent of the parent or guardian
Standard information is collected because it is needed to carry out the service. Sensitive information (medical, dietary, SEND) is only collected with the written consent of the parent or guardian.
3. Data minimisation
We only collect the personal data that is strictly necessary to deliver the service requested. We do not collect more information than we need.
4. How we store and protect your data
We take the security of your personal data seriously. Your data is held in the following ways:
- Digital records are held in password-protected systems and files
- Sensitive information (including medical and SEND data) may also be held in physical form in a locked, secure location
- Access to personal data is restricted to office staff and the assigned driver for each booking
- We use Stripe as our payment gateway – card details are not stored by us
5. How long we keep your data
- Active service records: retained for the duration of the contract or service relationship, plus 12 months
- Children’s personal data: securely deleted within 3 months of the service or contract ending
- Financial records: retained for 6 years in line with HMRC requirements
- Website usage data: retained in line with our cookie and analytics settings
6. Who we share your data with
We do not sell, rent or trade personal data. Data is shared only where necessary:
- The driver assigned to your booking (limited to the information needed to carry out the journey)
- The school and / or the commissioning local authority, where required for the school run contract
- Stripe (payment processing) – subject to their own privacy policy
- Google Analytics (website usage data) – you may opt out via your browser settings
- Regulatory or law enforcement bodies, where required by law
7. Your rights
Under UK GDPR, you have the right to:
- access the personal data we hold about you
- request that we correct inaccurate data
- request deletion of your data (where no legal obligation requires us to keep it)
- withdraw consent at any time (for data processed on the basis of consent); and make a complaint to the ICO at www.ico.org.uk.

8. Data breaches
In the unlikely event of a data breach that poses a risk to individuals, we will notify the ICO within 72 hours and, where required, notify affected individuals without undue delay.
